If You Are Going To Compete In Industry, You Need Desktop Management

Every business that succeeds grows, and as it grows their communication and information technology needs grow. Step by step a computer finds its way onto each desk in the office as each employee strives to stay at the leading edge of the business. Keeping these computers in touch with one another and properly maintained requires skilled desktop management.

The term certainly sounds like an effort to get employees to adopt a clean desk approach to office work, but that would be erroneous. The goal is to create a network of computers that allow employees to interconnect and communicate to foster the synergy of group approaches to problems. The network also serves to eliminate a fair number of meetings, which tend to increasingly eat productive hours as the number of employees increase.

The advent of an internal electronic mail system alone can increase productivity dramatically, allowing employees to contact one another regardless of the time of day or geographic separation. A single mass email has the greatest probability of getting to a group of employees in the fastest possible way than any other. Once transmitted, each employee has the exact same information waiting to be retrieved at their convenience. Once initiated, email usually becomes almost a habit, with employees checking for information on a very regular basis. One of the drawbacks to the new dependence on information technology is the cost of software and the licenses for multiple computer use. There is little a company can do as the programs need regular updating in order to stay current and to avoid security problems. The least expensive way to run a network is to have a central hub from which all the computers can be remotely cared for. The business and employees benefit from the ability to stay in touch with and service clients and accounts from anywhere without traveling, and when they do have to travel, they remain in contact with the home office for support and direction. The gain from the technology, however, can be lost without qualified personnel dedicated to keeping it running smoothly. Every software maker touts their product as a plug and play process that requires no special training or knowledge. To their credit, most of the time that works out pretty well. But regardless the effort and intent, there are simply too many ways to install too many types of programs for the makers to evaluate and prepare for. This leave the occasion where installing a seemingly simple program hijacks the system and freezes or other wise compromises the entire network.

When an employee has compatible computer setups at home and at the office, the temptation to take work home and bring the results back can be too hard to resist. This well meaning effort to give even more energy and effort to the company can also result in giving the company network malicious software that can wreak havoc on the system. Having professionals on staff to resolve these problems is a very valuable addition and can save the business from catastrophe.

One of the most common mistakes hardworking, dedicated employees make is bringing work home and then bringing it back, especially if they use their home computer to do the work at home. All the energy effort and money spent to keep the malicious software constantly attacking from the world wide web out of your system could be lost with a single thumb drive. Rarely do home systems have the same level of protection desktop management team installs on the business system, which means the overworking employee could be introducing harmful electrons from home.

There is an ironic truth in the management complaint that computers have made the business so complex that if the power goes off or the information technology freezes up, everybody may as well go home. It has come to pass that we are so deeply invested in computers to operate on a daily business that we can not continue to operate without them. While this is literally true in many manufacturing and financial sectors, it is also beginning to be the state of affairs for nearly every company, and highlights the need for systems management software.

 

Business has long had a need for more information. Management has always sought the answer to such questions as what will sell, when it should be sold, how can we get the product to the consumer quicker, and what inefficiencies are we experiencing. With the advent of the microprocessor, the old adage of be careful what you wish for may be an important consideration. We can now measure so many things and compile so much data that the manufacturing process becomes hard to recognize.

 

Given the right motivation, we can identify and collect an endless stream of facts concerning our business. There is information about the historical needs and uses of the product, what time of year it is most needed, what additions or complementary products most affect its use and so on. We can even spit details of which employee candidate pool is the most likely to successfully work in our industry and where they can be most easily found, attracted, hired and motivated. Unfortunately, we have not found a way to make the day longer or management more multitask capable than we already have. We can hire others to do parts of the business, but that in itself complicates the process and while we gain flexibility, we lose control.

 

While the data is important and even critical to a competitive organization, the methodology for gleaning information does impact the final data. Once all this data has been collected, the manager must make sense of it and put it to use in a practical way, a difficult endeavor made more complex by not having a good handle on the parameters under which it was collected. This is further complicated by the issue of time, just how much should be spent on the analysis of data?

 

The reason information systems became such an integral part of business is their ability to enhance the decision making process. When the use of the system becomes so cumbersome and time consuming that it cuts into the time a manager has to explore data and make operational decisions, it has stopped enhancing the business. The complexity of our tools is rapidly becoming more problematic than running a business without them. While there is certainly reason to expend energy training management on new tools and software, it should not continue to erode their time on a day to day basis.

 

Not surprisingly, this phenomenon is known to information system specialists, who are working feverishly to reign in the complexities of using management tools. It should also be no surprise that the solution will likely entail software designed to run or enhance the existing management tools, computers in charge of computers. This secondary iteration of control is much like the levels of management in a company, with each successive level designated to run the level below, allowing the higher levels to focus on a more strategic role.

 

All leaders intrinsically want to have a feel for what their company is doing. There is no scarier feeling than being responsible for something and not having the first hand knowledge of what is being done to make it happen. This does not mean that the CEO of a company needs to know the name, start time destination and cargo of every truck carrying product within his company, that is what the management hierarchy is about. Unfortunately, the nature of man is to be curious, and if the data is available it is difficult not to get captured in the mountains of minutia.

 

So while it is important that someone is aware of the collection and interpretation of all the detailed information a company has, there has to be a way to develop that raw data into useful knowledge for each level of management. This is the crux of systems management software, manipulating data collected by software systems to develop actionable information for leadership to run the business efficiently and profitably.
